Outlook Integration

With SAP Business One Outlook Integration you can streamline activity creation,
synchronise your calendars and transfer customer information and quotations from each application
saving you time and ensuring data is easily kept up to date with minimal effort.
The Microsoft Outlook add-on for SAP Business One allows you to
synchronise calendars and tasks and lets you import customer data from SAP Business One into your
Microsoft Outlook contacts list. The quotation function included in this add-on enables you to
display and edit existing quotations directly in Microsoft Outlook. You can create new quotations
in Microsoft Outlook, store them in SAP Business One, and send them as an e-mail to your prospect
or customer. E-mails sent and received in Microsoft Outlook can be saved and retrieved as
activities in SAP Business One.
Outlook
integration offers the following:
Data
Synchronisation
Using a broad range of
options you can synchronise the following data: Calendar appointments, contacts and tasks. You
can choose which of your contacts will sync to Outlook and vice-versa. You can have this
synchronisation run manually or automatically on a timed basis.
You can create a snapshot of
SAP Business One information and associate that snapshot with contacts in Outlook; trading
activities or correspondence, for example.

Quotations
Import quotations from SAP
Business One into Microsoft Outlook and then display, edit and send them as
emails.
Create quotations in Outlook
and save them to SAP Business One.

Email
An email in Outlook can be
saved as an activity in SAP Business One. Outlook email content and attachments can also be
saved as attachments to an activity in SAP Business One.
Once an email address has
been saved as part of the business partner (customer) record in SAP Business One you can
simply drag an email from Outlook, drop it in to SAP Business One and it will create an
activity for that Business Partner, pulling the information stored within SAP Business One
based on the email address attributed.
The subject line is saved in
to the remarks, the content of the email is saved as part of the activity, and the email is
saved as an attachment which can be reopened at any time and displayed as an email within
Outlook.
You can also drag an email
from Outlook into SAP Business One and immediately create new service call for the particular
customer and again all details of the email are recorded and saved as part of the activity
line created in the service call record.
